Privacy policy

The short version: the free tools need no account and store nothing on our servers. If you create an account, we hold what you put in it so the product can work, and we do not sell any of it.

Who we are

LabelClear provides food labelling software for UK food businesses. a trading name of FieldClear Ltd, registered in England and Wales For anything in this policy, write to privacy@labelclear.co.uk.

Where you use LabelClear as a business, we are the data controller for your account information and a processor for personal data you choose to put into the product — for example a colleague’s name on a team invitation.

Using the free tools

The label generator and matrix builder run without an account. What you type stays in your browser and is not sent to us for storage. If you press “Save this label”, the draft is held in your browser until you create an account and it is claimed — or for seven days, whichever comes first.

What we collect

If you never sign up

  • Standard server logs (IP address, request time, user agent), kept briefly for security and reliability.
  • Analytics and session recording — required to use the site (Google Analytics, Microsoft Clarity, and product analytics). See cookies. There is no opt-out for these tools.
  • Ingredient text you submit to a free tool is processed to produce your label and not stored by us afterwards.

If you create an account

  • Account: name, email address, and your organisation and role.
  • Business content: ingredients, supplier declarations, recipes, products, labels, and any packaging photographs you upload.
  • Billing: subscription status and plan. Card details go directly to Stripe and are never held by us.
  • Usage: what you do in the product, so we can fix what is broken and improve what is not.
  • Attribution: the page and source that brought you to us.

Who processes it

We use these providers to run the service. Each is bound by a data processing agreement and processes data only on our instructions.

Some of these are outside the UK. Where that is the case, transfers are covered by UK adequacy regulations or the International Data Transfer Addendum.

About the AI extraction step

Where AI extraction is enabled, the ingredient text or packaging photograph you submit is sent to the model provider to be read and structured. It is not used to train their models under our agreement. If you would rather not use it, the paste parser works without it and the product is fully usable that way.

What we don’t do

  • We do not sell personal data. There is no arrangement under which we could.
  • We do not share your recipes or ingredients with anyone.
  • No advertising or retargeting pixels.
  • No session replay on signed-in pages.

How long we keep it

  • Account and business content: while your account is open, and for up to 30 days after deletion so it can be restored if you change your mind.
  • Billing records: as long as tax law requires, currently six years.
  • Server logs: a short rolling window.
  • Analytics: per the retention settings of each provider, listed on the cookies page.

Your rights

Under UK GDPR you can ask for a copy of your data, ask us to correct or delete it, object to or restrict processing where the law allows, and ask for it in a portable format. Where we rely on consent (for example marketing email), you can withdraw that consent at any time. Required analytics and session recording are part of using the site — see cookies. Email privacy@labelclear.co.uk and we will respond within one month.

You can also complain to the Information Commissioner’s Office — ico.org.uk. We would rather you told us first so we can put it right.

Getting your data out

You can export your ingredients, products and labels from your account at any time. Your recipes are your business, and we do not hold them hostage to keep you subscribed.

Security

  • Encrypted in transit and at rest.
  • Each organisation’s data is isolated, and access is scoped by role.
  • Uploaded packaging photographs are stored privately, not on a public URL.
  • Access to production data is limited and logged.

No system is perfect. If you find a security problem, please tell us at privacy@labelclear.co.uk before disclosing it publicly.

Children

LabelClear is a tool for businesses and is not intended for use by children. We do not knowingly collect data about them.

Changes

If we change this policy materially, we will say so by email or in the product before the change takes effect. The date at the top is when it was last updated.
